Overview
The Issues section is your comprehensive tool for tracking and managing maintenance requests, property issues, tenant concerns, and general tasks across your property portfolio. The system provides robust workflow management, team collaboration, and status tracking to ensure nothing falls through the cracks.
Getting Started
Accessing Issues
Open Issues in the sidebar to find four views, plus a per-property list on each property:
- All Issues: View open issues across your entire property portfolio
- Assigned to me: See only issues assigned to you
- Drafts: Unfinished issues you saved as drafts — only you can see them
- Archived: Issues that have been archived, including every cancelled issue. Completed issues are not archived automatically
- Property-Specific Issues: Focus on issues for a single property from its Issues tab
Issue Lifecycle & Status Management
Status Progression
Every issue has one of four statuses. New issues start as To Do:
To Do
Logged and waiting to be worked on
In Progress
Actively being worked on
Completed
Work finished and verified
Cancelled
No longer needed — moved to Archived automatically
Draft and Archived aren't statuses. A draft is an unfinished issue only you can see, and archiving tucks an issue away on the Archived page whatever its status. Choosing any status on a draft publishes it.
Priority Levels
Viewing & Organizing Issues
Table View
- Detailed list format with comprehensive information
- Status count tabs above the list for quick filtering
- Select rows to update many issues at once
- Best for scanning large numbers of issues
Board View
- Visual workflow board organized by status
- Add a new issue straight into a status group
- Quick visual overview of issue distribution
- Best for understanding workflow and bottlenecks
Switching Views & Sorting
Open the View/Sort menu next to the filters. Under Display, pick Table or Board. Under Order by, choose one of:
- Newest First (the default) or Oldest First, by when the issue was created
- Due Soonest or Due Latest, by due date. Issues with no due date always sort last
Cardinal remembers your sort order and table page size, so the list opens the way you left it next time.
What the Default View Shows
The Issues list is a work queue, so Completed issues drop out of it once they're finished — otherwise a busy portfolio buries the open work under months of closed items.
- Completed issues stay one click away: use the Completed count tab above the table, or select Completed in the status filter
- The All total counts what the table actually renders, so the number and the list always agree
- Count tabs cover In Progress, To Do, and Completed
- Cancelling an issue archives it, so cancelled issues live on the Archived page rather than in this list or its status filter
Due Dates at a Glance
Each row carries a due-date chip that shows how much time is left rather than how old the issue is — what you need when deciding what to work on next. The chip changes color as the date approaches: comfortable lead time, then caution within three days, then Today, then overdue. An overdue chip turns red and shows how many days late the issue is, such as 4d. Very distant or very late dates collapse to 30+d.
Hover the chip for the details — for example, Overdue by 4 days — along with the exact due date and the time zone it's measured in. “Today” is the property's day in the property's own time zone, so an issue turns overdue at midnight at the building, not wherever you happen to be. Issues with no property use your own day.
Once an issue is Completed or Cancelled the chip disappears — a finished issue can't be late.

Bulk Actions
In Table view, tick the checkbox on each issue you want to change — shift-click to select a range, or use the checkbox beside the filters to select the whole page. Then open the bulk actions menu to:
- Assign the selected issues to a teammate, or unassign them
- Set their Status or Priority
- Archive them — or, on the Archived page, Unarchive them
The selection covers only the page you're looking at and clears when you change pages or filters, so an action never touches issues you can't see.
Creating New Issues
Issues can be created from multiple locations and contexts to fit your workflow:
Issue Creation Dialog
The new issue dialog provides comprehensive tools for creating detailed, well-organized issues:
Basic Information
- Title: Clear, descriptive title (required)
- Description: Rich text editor with formatting
- Attachments: Images, documents, and files
Issue Management
- Assignment: Assign to team members
- Priority: Set urgency level
- Type: Accounting, Compliance, Inquiry, Lease, Maintenance, or Other
- Due date & reminder: Get a reminder on the due date, 1 or 3 days before, or a custom number of days before
Context & Associations
Link issues to relevant properties, units, and leases for better organization:
- Properties: Associate with one or multiple properties
- Units: Link to specific units within properties
- Leases: Connect to tenant lease agreements
- Related issues: Set parent/child relationships to group connected work, duplicates, or follow-on tasks
- Email Integration: Create issues from email messages — the description arrives prefilled with the message that prompted it, so you don't retype the request
Draft vs. Published Issues
Clicking Create Issue publishes the issue right away as To Do. If you close the new issue dialog with unsaved changes instead, Cardinal asks whether to Save Draft or Discard — saving keeps your work on the Drafts page. To publish a draft later, open it and choose a status.
Draft Issues
- Only visible to the creator
- Allow preparation before publication
- No comments or notifications
- Can be edited freely

Recurring Issues
For maintenance tasks and inspections that need to happen on a regular schedule, turn on Make recurring in the Scheduling section of an issue. A recurring issue needs a due date — the schedule counts forward from it, so there's no separate start date.
- Frequency: Daily, Weekly, Monthly, Quarterly, or Annually, with Every to set the interval (for example, every 2 weeks)
- Ends: Never, On a date, or after a set number of occurrences
- Auto-creation: The next issue is created as soon as the current one is completed, or when its due date arrives at the property — even if it's still open — so the schedule never stalls
- Preserved details: Title, description, type, priority, assignee, reminder, properties, units, leases, and subscribers carry over to each new occurrence, which starts as To Do
- Stopping a series: Archive or cancel the latest occurrence before the next one is created, and no further issues are generated
- Use cases: Routine inspections, HVAC filter changes, pest control, landscaping, and other scheduled maintenance
Managing Individual Issues
Click on any issue to access comprehensive management tools and collaboration features:
Issue Info Bar
The bar across the top of an issue holds its title — click to rename it — along with who created it and when. Two chips flag issues that need a second look: Archived when the issue has been archived, and a red Overdue chip once its due date has passed at the property.
Activity Feed
Every issue includes a detailed activity feed that tracks all changes and communication in one place. The feed captures status updates, priority changes, assignments, due date modifications, and comments so your team has full visibility into an issue's history.
Linked Emails
The Linked emails panel in the issue sidebar keeps the conversations that drove the work attached to the issue. When an issue is created from an email thread, that thread is tagged as the Origin email. Click Link email to attach additional threads, or the × to remove a link without deleting the thread itself.
Threads can be linked from either side of the connection: open the picker from the thread sidebar's Related issues section to attach an issue to an email, or use Link email on the issue to attach a thread. An issue can carry any number of linked emails, and a thread can reference any number of issues.
Attachments
Files pile up in three places on a typical issue: the photos someone attached when they created it, the documents that arrived on a linked email, and whatever got dropped into the comments. The issue's Attachments panel gathers all three into one list, so the lease PDF is in the same place whether it came in by email or was uploaded directly. Files uploaded straight to the issue also render under the issue body, where comment and email files already appear on their own surfaces.
Where a File Came From
Hover any file to see who attached it and when, and whether it came in on the issue itself, in a comment, or on a specific email — the email's subject is named, so you can trace a document back to the conversation that produced it.
Renaming Files
Click the pencil on a file to rename it — scan0032.pdf becomes Unit 4B signed lease. Renaming changes the display name in Cardinal only; the original file and the email it arrived on are untouched. Files that live on a comment or an email are removed from that comment or email, while files attached directly to the issue can be deleted from the panel.

Urgent Issue Handling
- Marking an issue Urgent asks you to confirm first, naming who will be emailed
- Confirming emails the issue's subscribers — not your whole team
- Applies to published issues only; drafts send nothing
- Urgent issues are clearly marked in every list
Archiving Issues
Archive an issue to clear it out of your working lists without deleting it. Archived issues move to the Archived page, where you can unarchive them at any time. Cancelling an issue archives it automatically; completing one does not.
- Primary issues: When the issue has sub-issues, Cardinal asks whether to archive them too. Leave the switch off and the sub-issues stay open, unlinked from the archived issue
- Recurring issues: Cardinal warns you first, since archiving stops future occurrences from being generated
- Many at once: Use bulk actions on the Issues list to archive or unarchive several issues together

Issue Creation
- Write clear, specific titles
- Include all relevant details upfront
- Use proper categorization and priority
- Link to relevant properties and units
- Include photos for maintenance issues
Workflow Management
- Review assigned issues daily
- Keep issue status current
- Use comments for all communication
- Reserve "Urgent" for true emergencies
- Document resolution steps
Team Collaboration
- Assign issues to specific team members
- Provide regular progress updates
- Use mentions to notify relevant people
- Document work during handoffs
- Include closure notes for future reference
Security & Access Control
- All issue data is protected by authentication and requires proper login
- Access is controlled by organization and property permissions
- Different permission levels for viewing, creating, and managing issues
- Complete audit trail of all issue changes and interactions
- Encrypted storage and regular backups ensure data protection
Support & Troubleshooting
- Check organization and property permissions if you can't see issues
- Verify creation rights if you can't create issues for a property
- Check file size limits and internet connection for attachment uploads
- Review email settings and subscription status if notifications aren't working
- Clear browser cache and refresh if search or filtering isn't working properly
